Privacy Policy
How we collect, use and protect personal information, and how you can access or delete yours.
Who we are
This Privacy Policy explains how Bontile Bookkeeping Services (“Bontilebiz”, “we”, “us”) collects, uses and protects personal information when you visit this website or contact us. Our registered address is Purok 5, Tigbinan, Labo, Camarines Norte 4604, Philippines.
Our team is based in the Philippines and serves clients in the United States and elsewhere. Our Data Protection Officer is Jonathan Bontile. For privacy questions or requests, email [email protected].
Information we collect
Information you give us. When you use our contact form we collect your name and email address, and, if you choose to provide them, your company, phone number, industry, approximate annual revenue, the services you are interested in and your message. Only the fields marked as required are needed for us to reply.
Information from our engagement. If you become a client, we process the financial records and business information needed to deliver our services. That processing is governed by your engagement letter and its confidentiality terms.
Information collected automatically. Like most websites, our hosting provider records standard server logs (such as IP address, browser type, pages requested and time of request) to keep the site secure and working. We do not use analytics, advertising or tracking tools on this website. If you arrive through a link that includes campaign tags (for example utm_source), those tags are passed along with your contact form so we know which campaign brought you; they are not stored in your browser.
How we use your information
- To respond to your inquiry and arrange a consultation.
- To prepare proposals and deliver the services you engage us for.
- To run our business, including record keeping, billing and quality control.
- To keep this website secure and prevent misuse.
- To comply with legal, tax and professional obligations.
Where data-protection law requires a legal basis, we rely on: steps you ask us to take before entering a contract, performance of our contract with you, our legitimate interests in running and securing our business, compliance with legal obligations, and your consent where we ask for it.
We do not sell your personal information, share it for cross-context behavioral advertising, or use it for automated decision-making that has legal or similarly significant effects on you.
International transfers
Because our team works from the Philippines and our clients and service providers may be in the United States or other countries, your information may be transferred to and processed in countries other than your own. We take reasonable steps, including contractual safeguards with our providers, to protect it wherever it is processed.
How long we keep it
- Inquiries that do not lead to an engagement: up to 24 months, then deleted.
- Client records: for the length of the engagement and afterwards for 5 years.
- Server logs: kept by our host for a limited period for security purposes.
How we protect it
We use reasonable administrative, technical and physical safeguards appropriate to the sensitivity of the information, including access controls and encrypted connections (HTTPS). No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
Your rights
Depending on where you live, you may have the right to:
- Know what personal information we hold about you and obtain a copy.
- Correct information that is inaccurate or incomplete.
- Have your information deleted.
- Object to or restrict certain processing, and withdraw consent where we rely on it.
- Receive your information in a portable format.
- Not be discriminated against for exercising these rights.
These rights are provided under laws including the Philippine Data Privacy Act of 2012, the EU and UK General Data Protection Regulation, and US state privacy laws, where they apply. You may also lodge a complaint with the Philippine National Privacy Commission or your local data-protection authority.
How to request deletion or access
Email [email protected] with the subject line “Privacy request” and tell us what you would like us to do (for example, delete your data or send you a copy). Please send it from the email address you used to contact us so we can verify your identity.
We will confirm receipt and respond within 30 days. If we need to keep certain records to meet a legal obligation, such as tax or accounting retention rules, we will tell you what we are keeping and why, and delete everything else. There is no charge for a reasonable request.
Children's privacy
Our website and services are intended for businesses and are not directed to children. We do not knowingly collect personal information from anyone under 16. If you believe a child has sent us personal information, contact us at [email protected] and we will delete it.
Emails from us
We send emails to answer inquiries and deliver our services. We do not send newsletters or marketing emails. If we ever do, we will only send them where the law allows or with your consent, and every marketing email will include a working unsubscribe link and our business address. Unsubscribing will not affect service emails about an active engagement.
Changes to this policy
We may update this policy from time to time. The “Last updated” date at the top shows when it last changed, and material changes will be highlighted on this page.
